Job Description Summary:
The Tenant Request Coordinator is responsible for scheduling work force productively through effective job planning. Liaison between building occupants and Maintenance Departments for logistics concerning facilities assets and manpower availability and will assist operations in developing a structured work plan to ensure efficient and effective use of available resources. Work in unison with Planner/Scheduler to coordinate the day to day work planning of staff to assure cohesive and efficient delivery of tasks.

Job Description:
Plan and schedule Tenant Request utilizing maintenance management systems (Angus) and standard procedures to optimize maintenance resource utilization and productivity.
Understand responsibilities of Planner/Scheduler to provide coverage during PTO.
Organize, develop and document business processes and technical information for effective communication and coordination of maintenance resources, parts, materials, and equipment access.
Analyze maintenance and project resource requirements and assign mechanical, electrical, and engineering services as required.
Monitors and participates in operations including project inspections, developing and implementing modifications and improvements, recommending specifications, and working closely with maintenance schedulers, various departmental leadership and contractors.
Oversee and coordinate PM and TR quality assurance program and create monthly reporting
Maintain accurate asset registry, ensure assets are up to date and that all add/delete requests are processed in the CMMS,
Own the asset inventory process, update additions and deletion of assets and the creation and distribution of asset tags.
The ability to provide management and support staff with reports and guidance to make informed decisions in regard to maintenance schedules.
Performs administrative activities associated with the effective management of operations, including compiling, storing, and retrieving data for reports.
Collaborates with the account management team and customers management team to identify, develop, and deploy best practices (i.e. safety, quality control, training, standards & qualifications, maintenance practices, etc.)
May identify opportunities to improve process, planning or performance through analysis of work order flow, project demands and expectations.
Administers the preventative maintenance tracking and documentation programs, assigns and distributes the work to the appropriate supervisor, reviews scope and frequency of assignments with the supervisor and makes changes where required.
Recommends and arranges alternatives for resource schedule constraints – eg. change assignments, over-time, utilization of 3rd party
Coordinate maintenance activities and details with other departments, preparing specifications and work packages. Work packages will include materials, labor, special tools/equipment and written procedures to insure a safe & efficient working environment. Where Work Permits are required, verify completeness and include with work packages.
Ensure the work packages are complete and all materials, labor and equipment are available prior to scheduling work.
Ensure plans, schedules and resources needed are well-defined, documented and meet customer requirements.
Maintain a comprehensive backlog of all maintenance activity by work type. Recognize the priority of the work order backlog and re-schedule when appropriate seeking direction from the Manager.
Communicates with Manager/Requestor to determine total scope of work and priority of the project or service request work to be performed.
Administers the preventative maintenance tracking and documentation programs, assigns and distributes the work to the appropriate supervisor, reviews scope and frequency of assignments with the supervisor and makes changes where required.
Identifies resources and materials required to execute the requested work. May verify the availability of those resources prior to scheduling the work or arranges for appropriate alternatives.
Acts as a contact/liaison between Technical staff and the requesting department for the planning and scheduling of work performed by site team.

Non-Essential Functions:
Pursue employee development objectives recommended by Engineering Manager.
Assist in the administration of the property’s impairment and loss prevention program.
Participate in Safety initiatives.
Perform other duties as assigned.

Requirements and Qualifications:
High School or equivalent and three to five year's progressive experience in scheduling/planning and database management activities. Knowledge of building trades, property management, craft skills, and engineering or comparable industry experience desired.
Demonstrate working knowledge of regulatory code requirements for related fields (i.e. AAALAC, OSHA, and local authorities having authority).
Proficient experience with a Computerized Maintenance Management System (CMMS), preferably Angus
Effective verbal and written communication skills necessary to provide courteous and professional customer service.

Physical Requirements:
Regularly required to stand, walk, reach and use arms to perform tasks as well as push and pull objects and grasp with hands.
Regularly use fingers to type or write as needed.
Regularly required to talk and hear and occasionally required to smell.
Frequently required to sit, stoop, crouch, kneel, crawl, balance, climb stairs and ladders, work at heights and in environments with temperature ranges both while working outside and inside.
Occasionally required to work around vibration or noise as well as dust.
Regularly required to lift and/or move up to 20 lbs. and occasionally required to lift and/or move up to 50 lbs.
Specific vision abilities include close vision, distance vision color vision and depth perception.
